Indicia Nederland B.V. (hereafter: Indicia) would like to thank you for visiting our site and for your interest in our company, our services or our vacancies. It matters to us that your personal data is protected during your visit to our site and during any processing that follows from it.

Below we explain which information we collect when you use our site and how that information is processed.

Who we are

Through its operating companies Content Leaders, Digital Storytellers, E-business, Interactiv and Total Performance, Indicia develops a wide range of online applications, including apps, websites, portals and HR software. Indicia is based at Spoorlaan 348, 5038 CC Tilburg, and is registered with the Dutch Chamber of Commerce under number 18044891.

Privacy in general

Indicia will only process your personal data in line with the relevant privacy legislation (the Dutch Telecommunications Act and the Dutch Personal Data Protection Act / GDPR). Your personal data is only used as described in these terms. Beyond that, we will only use your personal data with your consent. By using the site you declare that you have read these privacy terms and agree to be bound by them.

Which (personal) data do we collect?

Visitors to our site

In general, our site can be visited without your personal data being passed on to us. Like many other sites, this website does automatically collect certain non-identifiable information about the users of the site. Indicia collects data about the users of the site, such as the duration of the visit, the domain, the browser type, the pages you visited and your IP address. This technical information is used to manage the site and to improve the site and the way it is used.
This data does not allow us to identify you. Your IP address can only be traced back to the name of your access provider or your company network.

Beyond that, Indicia only collects information that can be traced back to individuals where visitors have explicitly and voluntarily provided it. That information may include your name, email address, telephone number and the name of the organisation you work for. Indicia uses the personal data you provide voluntarily, through the site or afterwards in follow-up contact, to communicate with you about the delivery of our services and other activities, and to approach you for commercial purposes, newsletters and specific Indicia publications and events, in all cases only if you have signed up for that (opt-in). In that case we may use the information you left on the website or afterwards in an email exchange to create personal profiles, so we can tailor our responses to requests to your wishes. You can always ask us to stop sending you such information.

Personal data of business contacts

(contact details of employees of clients, suppliers, vendors, referees and any other party we have a business relationship with)

Indicia processes the personal data of people who work for companies we do business with (1) to make offers for and/or provide information about our services and other activities, (2) to maintain a business relationship and (3) to enter into and maintain an engagement agreement. The personal data of business contacts we process includes: names, contact details and job titles of contact persons.

Indicia may pass on personal data obtained from its business contacts to third parties where this is needed to achieve the aims of the business relationship or for the delivery of Indicia's services to that business contact. This data may be passed on to other Indicia operating companies, to applicants and candidates, business partners, tendering parties and subcontractors (for example data processors) that provide services on Indicia's behalf, and in all other cases where Indicia may be obliged to do so, for example by a court order or judgment. Personal data cannot be transferred outside the Netherlands. Indicia has taken the necessary measures to make sure that all personal data passed on is adequately protected.

The retention periods Indicia applies depend on the applicable statutory retention periods. In any case the data is kept until no later than 2 years after the end of the client relationship

Personal data of candidates and applicants

The processing of personal data in an application or selection procedure is based on the legitimate interests of Indicia and of the applicant. When you submit an application, you explicitly consent to your data being processed as part of the recruitment and selection process, and that consent can be withdrawn at any time.

Indicia only uses the personal data sent through the application form on the site for the purpose you sent it for: applying for a vacancy at Indicia. You are of course responsible yourself for the accuracy and relevance of the data you provide.

As part of an application or selection procedure we ask you for, among other things, the following personal data (or documents containing it):

When applying through the website:
  • Your first and last name, email address and telephone number.
  • Your curriculum vitae (CV) and covering letter.
During any application procedure that follows:
  • Information about training and education and/or tests you have followed or taken.
  • Information about availability and leave.
  • Other information that may matter in assessing a candidate's suitability, such as references and testimonials.
  • A photo, on a voluntary basis
When you are about to work, are working or have worked at Indicia:
  • Nationality, citizen service number (BSN), ID document, work permit where applicable.
  • Other data related to personnel, payroll and absence records.
  • We also sometimes process data as part of a pre-employment screening.

Indicia only records special categories of personal data where this is needed to meet its statutory obligations, where consent has been given for it, or where it is otherwise permitted by or under the law. 'Special categories of personal data' means data about race, religion or belief, political opinions, health, sexual life, trade union membership, criminal records and/or personal data about unlawful or troublesome behaviour.

Indicia may pass on the personal data of a candidate or applicant to subcontractors (for example data processors) that provide services or carry out work on its behalf, to suppliers and to government bodies. And in all other cases where we may be obliged to do so, for example by a court order or judgment.

Personal data is provided on the basis of a legitimate interest, a statutory obligation and/or the performance of the agreement, in line with the purposes set out above.

Your personal data cannot be transferred outside the Netherlands. And Indicia naturally makes sure your personal data is adequately protected.

The retention periods we apply depend on the applicable statutory retention periods.

If you have worked for Indicia, your placement and employment data (CV, work experience, education, test results, overviews of holiday days, testimonials, administrative absence data, records of performance and appraisal interviews and so on) stays available in a protected environment until two years after the last contact. After that it will be destroyed.

Cookies

To make sure our site can be managed properly and to make navigation easier, Indicia may use cookies (small text files stored in the user's browser) so that aggregated data can be collected.
We may use these tools to retrieve information on our systems and to identify certain categories of users on the basis of items such as IP address, domain, browser type and pages visited. This information is passed on to our webmasters, who use it to analyse the number of visitors to the different parts of the website and to make sure our website works as a useful and effective source of information

Google Analytics

Indicia uses Google Analytics to get insight into things like visitor flows, traffic sources and page views on our site. This means Google acts as a processor in Indicia's processing of personal data. We have therefore entered into a data processing agreement with Google.
Information collected with Google Analytics is anonymised as far as possible. For example, Indicia gets no insight into which individual visitors make which visits to our website. Google will never process your full IP address and will always mask the last octet of your IP address.

Security

Indicia does everything it can to protect your personal data against unlawful use as well as possible. We do that through physical, administrative, organisational and technical measures. For example: only authorised employees have access to the data. Where data is provided to data processors that provide services or carry out work on Indicia's behalf, Indicia has agreed with them that they will protect the personal data just as well.

We guarantee that the data will not be used for purposes other than the ones you shared it with Indicia for.

Your rights

You have the right to access, change or delete the personal data recorded about you. You can contact Indicia about that at the address below. If you believe Indicia is acting in breach of laws and regulations with regard to your personal data, you have the right to file a complaint with the Dutch Data Protection Authority.

Changes

Indicia may make changes, additions or amendments to its privacy statement from time to time, for a range of reasons. The most current privacy statement can be viewed on Indicia's website at any time. This version was drawn up in April 2018.
